Event Rules & Conditions
DURING THE EVENT
Wristband
- Participants must always wear the wristband.
- It is mandatory to show the wristband at the entrance to classes and parties.
Safety
According to local safety laws:
- It is forbidden to move furniture or equipment from the areas where they are placed, in order to prevent obstruction of emergency exits and escape routes.
- Do not place bags or suitcases near emergency exits.
- Do not climb on chairs or tables.
The Organizer does not take any responsibility for participants' valuables, assets, or physical injuries.
There is a risk of physical injury during dance activities. It is the participant's responsibility and decision to take part in any dance activity during the event.
Do your best to be careful — for yourself and for others as well!
Teachers, Auditions & Event Decisions
Participants must accept the decisions of the teachers and Organizer during the event, especially during auditions, if requested.
Participants are not allowed to record or take photos of classes unless the teacher permits it.
Photos & Videos
Participants, including their image and voice, may appear in media such as photographs, videos, or event DVDs recorded by the Organizer or its representatives during the event.
The Organizer may use these media for any purpose related to the event or for other artistic purposes, in any form.
Lost & Found
The Organizer will keep lost and found properties for one week after the event has finished.
Program Changes & Refunds
There is no refund in case any part of the program is not realized, for example if a teacher is unable to participate due to illness or cancelled flights.
Food & Drinks
Do not bring your own food or drinks into the ballroom.
You have a very nice bar in the foyer, just next to the ballroom, where you can find whatever you want, including drinks and late-night food.
Check the menu at the bar counter.

Participant Responsibility
Any inappropriate actions or harm caused by a participant to themselves or third parties will be the responsibility of the participant.
The Organizers will be released from all liability and, in extreme cases, may terminate the participant's participation with immediate effect for the whole duration of the event, without refunding the pass.
The participant must meet all the physical requirements of good health and robustness necessary to ensure their physical health throughout the event.
During the event, please behave respectfully and follow these rules.
Violation of the Rules
If a participant fails to comply with these rules, the Organizer is entitled to:
- Withdraw the participant's pass.
- Ask the participant to leave the event.
- Refuse any refund of fees paid.
PAYMENT TERMS
Payment must be made within 14 days from the registration date.
After this deadline, the current pass rate will be applied.
PayPal and Bank Transfer fees are the participant's responsibility.
REFUND POLICY — EVENT
- If you cancel your chosen Pass within 15 days from the payment confirmation, you will receive a 90% refund. A 10% fee will be retained as an administrative fee.
- After 15 days from the payment confirmation, a 50% refund will be issued.
- No refunds are provided after 30 days from the payment confirmation for the Pass.
- The Pass is personal and non-transferable.
Pass Exchange
In case of cancellation, you may sell your Pass to a new participant.
The new participant will have to pay the difference between:
- The original purchased price; and
- The price applicable at the time of the exchange.
Event Cancellation
In case of event cancellation due to force majeure, an 80% refund will be issued.
A 20% fee will be retained as an administrative fee.
HOTEL CONDITIONS
After registering, you will receive two emails:
- One email containing a copy of your registration.
- A second email containing instructions on how to complete payment and register for the event. This email will also include a discount code for exclusive room rates at Hotel Capannelle.
The second email may arrive up to 48 hours after registration.
Please do not register again if you have not received the email within this period. Also, check your spam folder.

Hotel Reservations
Reservations and payments for hotel rooms are arranged directly with Hotel Capannelle.
Any requests for refunds or issues regarding hotel reservations are matters exclusively between Hotel Capannelle and the participant and do not involve the event or the organizations of and for Swing in Capital.
RELEASE OF LIABILITY

I assume full responsibility, civil and criminal, and compensation for any injuries or damage to property, persons, and structures directly caused or attributable to my actions during the institutional activity of the A.S.D. "W.C.S. Roma".

By clicking "I accept" in the registration form, I declare to know and fully accept the rules of the A.S.D. W.C.S. Roma.
I expressly declare, under my responsibility, that I have undergone a medical examination and have been found to be of healthy and robust constitution and capable of participating in physical and sporting activities.
I therefore release from all liability and promise not to sue the A.S.D. "W.C.S. Roma" from any and all claims, including claims resulting from any damages or injuries sustained while carrying out physical-sporting activities during the event of A.S.D. "W.C.S. Roma".
I further declare that I do not have any current medical conditions, especially cardiovascular diseases or infections, and that I do not use narcotic substances.
Finally, I declare that A.S.D. "W.C.S. Roma" shall not be liable for any personal and/or bodily injury sustained by me or caused to others during the institutional activities of A.S.D. "W.C.S. Roma".

A.S.D. "W.C.S. Roma", the Organizer, employees, volunteers, and their heirs shall not be liable for any damages, personal and/or bodily injury, including death.
This is accepted by me and includes my relatives or successors in title of beneficiaries concerned.

Waiving any right to make claims or seek compensation, I accept to exempt A.S.D. "W.C.S. Roma" from liability, assuming all responsibilities.

I declare to have carefully read the full release form and understood all its terms before accepting it. I am accepting it freely.
I understand the legal consequences of approving this document, including:
- (a) releasing A.S.D. "W.C.S. Roma", the Organizer, employees, and volunteers from all liability;
- (b) promising not to sue A.S.D. "W.C.S. Roma", the Organizer, employees, or volunteers;
- (c) assuming all risks associated with participating in this event, including travel to, from, and during the event.
Specific Approval
Under Articles No. 1341–1342 of the Italian Civil Code, I declare to specifically approve points 1, 2, 3, 4 and 5 of this form.
The UNDERSIGNED hereby accepts all the terms of this full release, as evidenced by clicking "I ACCEPT THE EVENT RULES OF SWING IN CAPITAL 2026".
